Cancellation policy

We offer select products through both standard customer subscriptions and wholesale recurring order programs to help ensure a consistent supply of freshly roasted coffee. The sections below explain how each program works, including important information on recurring billing, changes, cancellations, and related terms.


Section 1 below applies to standard customer subscriptions, while Section 2 applies to wholesale recurring orders, wholesale pricing arrangements, and wholesale contracts.

SECTION 1 - SUBSCRIPTIONS

How Subscriptions Work

  • Subscriptions auto-renew based on the selected delivery schedule.
  • Your payment method will be charged at each renewal.
  • Each renewal generates a shipment of fresh coffee.
  • Future subscription orders are scheduled in our queue one month in advance to ensure fresh roasting and timely delivery.

Subscription benefits include

  • Complimentary priority roasting & free shipping*
  • Exclusive subscriber perks and early-access promos when available

*Priority roasting & shipping refers to order handling priority. Delivery speed is subject to carrier timelines and seasonal/volume variations.

Cancellation Policy (Non-Prepaid Subscriptions and Non-Gift Subscriptions)

If you are not 100% satisfied with your first delivery, you may request cancellation within a 10-day grace period of your initial subscription order.

If a valid request is not submitted within the 10-day grace period, cancellation becomes available after your 3rd delivery.

To cancel within the grace period, you must submit a request via our Contact Page and:

  1. Fill all required fields and select “Subscription” as the subject.
  2. Include your order or subscription number in the message body and clearly state that you would like to cancel.
  3. Our support team thoughtfully reviews each cancellation request. Please allow up to 5 business days for processing.

Accidental Subscription Purchases

If you place a subscription order by mistake and request cancellation immediately (via the Contact Page), our team will do its best to assist and satisfy an immediate cancellation. Our support team thoughtfully reviews each cancellation request. Please allow up to 5 business days for processing.

Please note, in some cases you may be responsible for reimbursing the shipping fee originally waived as part of your subscription benefits. This is carefully reviewed on a case-by-case basis to ensure fairness.

Cancellation Policy (Prepaid Subscriptions)

Prepaid subscription plans include a complimentary bag of coffee and therefore require fulfillment of two prepaid cycles before cancellation eligibility.

Example: If you purchase a prepaid plan covering 3 deliveries, you must complete 6 deliveries (two prepaid cycles) before canceling.

Cancellation Policy (Gift Subscriptions)

Customers may cancel gift subscriptions at any time without penalty. Cancellation will prevent all future unscheduled deliveries from processing. Please note that any delivery already scheduled within our fulfillment system cannot be canceled or refunded. Gift subscription deliveries are typically scheduled approximately 30 days prior to shipment to support fulfillment planning, delivery coordination, and gift recipient communications.

Early Cancellation Option (Prepaid Subscriptions)

Prepaid subscribers may cancel early by covering the value of the complimentary free bag of coffee that was included as part of the order. This amount is variable and based on the original order. 

To initiate an early cancellation for a prepaid subscription, you must submit a request through our Contact Page and:

  1. Fill all required fields and select “Subscription” as the subject.
  2. Include your order or subscription number in the message body.
  3. State clearly in the message body that you would like to initiate an early cancellation.
  4. Our support team thoughtfully reviews each cancellation request. Please allow up to 5 business days for processing.

Modifying Your Subscription

Subscription modifications are available at any time. Before your 3rd delivery, changes may be made to a product of equal or greater value; subscription downgrades are not permitted during this period. After your 3rd delivery has been fulfilled, you may modify your subscription to any product or size, and you will also have the flexibility to skip, pause, or reschedule upcoming deliveries as needed.

To request modifications, please use our Contact Page and:

  1. Select "Subscription" as the subject.
  2. Provide your order or subscription number in the message body.
  3. Specify the modification that you would like to make.
  4. Our support team thoughtfully reviews each request. Please allow up to 5 business days for processing.

Payment Issues

If a renewal payment cannot be processed, we will notify you to update your payment method. Subscription shipments may be paused until payment is resolved.

Our Commitment & Discretion Clause

We are committed to treating every subscriber fairly and providing a premium experience. Situations not covered in this policy will be reviewed individually.
Cosmic Cat Coffee Co. reserves the right, at our sole discretion, to make final decisions regarding subscription management, cancellations, modifications, and exceptions.

SECTION 2 - WHOLESALE

This section applies to wholesale orders, products (product title contains "Wholesale"), contracts, cancellations, and refunds.

Wholesale orders placed with Cosmic Cat Coffee Co. are subject to the following terms.

We currently offer three wholesale purchasing options:

  • No Contract
  • 6-Month Contract
  • 12-Month Contract.

Wholesale pricing is based on the agreed coffee, order volume, delivery frequency, and contract length. Unless otherwise approved by us in writing, 20 lbs per delivery is the standard minimum threshold for wholesale pricing. In certain cases, we may allow lower quantities at our discretion, but pricing will be adjusted accordingly.

For our wholesale program, recurring billing works similarly to a subscription. Once enrolled, the customer is charged automatically based on the agreed delivery schedule, and fulfillment and shipping occur automatically based on that schedule.

"No Contract" Wholesale Purchases

Customers enrolled in a "no-contract" wholesale arrangement may request cancellation of future recurring orders at any time before the next scheduled billing, processing, roasting, or fulfillment begins. Once an order has been billed, processed, roasted, packaged, fulfilled, or shipped, it cannot be canceled or refunded.

"6-Month" and "12-Month" Contracts

For 6-month and 12-month wholesale contracts, pricing is locked in for the active contract term based on the agreed volume, coffee selection, and shipment schedule.

These contracts renew automatically at the end of the term with updated pricing unless cancellation is requested before the renewal date. If cancellation is requested prior to the renewal date, the contract will not renew and no cancellation fee will apply.

All 6-month and 12-month contracts include a 2-week grace period beginning on the contract start date. During this grace period, the customer may cancel the active contract without an early cancellation fee if unsatisfied. However, any order already billed, processed, roasted, fulfilled, or shipped during that time remains non-refundable.

If an active 6-month or 12-month contract is canceled after the 2-week grace period and before the end of the contract term, a $297 early cancellation fee will apply. This fee helps offset the costs associated with onboarding a wholesale client, extending discounted contract pricing, and committing to larger sourcing and inventory planning based on expected wholesale demand.

Volume Changes

Wholesale quantities may generally be adjusted in 10 lb increments, subject to approval and operational feasibility. Pricing may be adjusted if the order volume, delivery frequency, bag size, or coffee selection changes. Reduced quantities may result in a higher per-pound price due to lower total committed volume.

Coffee Changes

Wholesale pricing may apply to one specific coffee offering only. For 6-month and 12-month contracts, coffee may be changed to another offering by request up to once every 3 months, subject to approval and updated pricing if applicable.

Non-Refundable Wholesale Orders

All wholesale orders are final and non-refundable. Because our coffee is roasted fresh to order and wholesale commitments require production planning and sourcing commitments, we do not offer refunds, returns, or exchanges on wholesale orders once they have been billed, processed, roasted, packaged, fulfilled, or shipped.

Shipping / Lost or Damaged Packages

Once a wholesale order has shipped and been handed off to the carrier, Cosmic Cat Coffee Co. is not responsible for lost, stolen, delayed, or damaged packages. Any delivery issue or shipping-related claim must be addressed with the carrier.

Resale and Branded Packaging

Wholesale coffee supplied under this program may not be retailed, redistributed, or resold in Cosmic Cat Coffee Co. branded bags, labels, or packaging unless expressly authorized by us in writing. Use of the Cosmic Cat Coffee Co. name, trademarks, logos, product names, packaging, or branded materials in connection with resale, repackaging, relabeling, retail shelf sale, or third-party distribution is prohibited unless approved in advance by us in writing.

Reservation of Rights

Cosmic Cat Coffee Co. reserves the right, in its sole discretion, to interpret, apply, and enforce this policy and to resolve any situation not specifically addressed in this policy.
